Privacy Policy

1. Scope

This Privacy Policy applies to Voice Note Pro products published under the Voice Note Pro brand, including the Voice Note Pro Android app, the web dashboard at voicenotepro.app, and Voice Note Pro icon pack apps.

2. Data We Process

Depending on the product and feature you use, we may process:

• Sign-in data needed to authenticate your account
• Content data, such as notes, metadata, and audio files you create
• Usage and diagnostics data, including analytics events and performance metrics
• Support data you provide if you contact us (for example, email and issue details)
• Icon request data for icon packs, such as app package names and screenshots you send

3. Voice Note Pro App and Web Dashboard

Voice Note Pro uses Google OAuth and Google Drive's app-scoped `drive.file` permission to synchronize notes. This scope is limited to files created or opened by Voice Note Pro.

On web, authentication tokens are stored in browser session storage to keep you signed in for the current browser session and are removed on logout.

4. Icon Packs

Voice Note Pro icon packs are customization products and do not require note content. If an icon pack offers icon requests, we process only the data needed to fulfill those requests.

If a specific icon pack build includes ads, in-app purchases, crash reporting, or analytics, that build may process limited technical and transaction data required by those features.

5. Third-Party Services

We currently rely on third-party services such as:

• Google Identity Services for sign-in
• Google Drive API for synchronization
• Google Analytics for website usage and performance metrics

Current subprocessors and providers include:

• Google LLC (identity, Drive sync, geocoding/maps, analytics)
• Vercel Inc. (website hosting and delivery)

6. Why We Process Data

We process data to operate, secure, and improve the products, including to:

• Provide note capture, sync, and retrieval functionality
• Authenticate users and prevent abuse
• Troubleshoot errors and improve reliability
• Respond to support requests

7. Sharing

We do not sell personal information. We may share data only with service providers that help run the products, or where required by law or to protect rights and safety.

8. Data Retention

Typical retention windows are:

• App content synced to your Google Drive: until you delete it from the app or Drive
• Web analytics events: up to 14 months
• Operational logs and diagnostics: up to 30 days
• Support emails and support metadata: up to 24 months
• Reminder and geofence data stored on your device/backup: until you delete reminders or disable backups

We may retain data for longer when required by law, security investigations, fraud prevention, or dispute resolution.

9. Security

We use reasonable administrative, technical, and organizational safeguards. No storage or transmission method is completely secure, so absolute security cannot be guaranteed.

10. Your Choices and Data Deletion

• You can revoke Voice Note Pro Google access from your Google account security settings.
• You can delete notes and files from Voice Note Pro and from your Google Drive.
• You can delete reminders (and their location data) from within the app.
• You can request deletion of support or icon-request emails by contacting us.

11. Regional Privacy Rights

Depending on your location, you may have rights to access, correct, delete, or limit processing of personal data, and to object to certain processing. We will handle requests in accordance with applicable law.

12. Legal Bases (EEA/UK/Switzerland)

Where applicable, we process personal data under these legal bases:

• Performance of a contract (for core app features and sync)
• Consent (for optional permissions such as background location where required)
• Legitimate interests (security, abuse prevention, product reliability, basic analytics)
• Legal obligations (compliance with applicable laws and lawful requests)

13. Children's Privacy

Our products are not directed to children under 13 (or the minimum age required in your jurisdiction), and we do not knowingly collect personal data from children.

14. International Transfers

Information may be processed in countries other than your own. Where required, appropriate safeguards are used for cross-border data transfers.

15. Policy Changes

We may update this Privacy Policy from time to time. If we make material changes, we will update the "Last updated" date and provide notice where appropriate.

17. Location Data and Geofence Reminders

If you enter a place or address in the app, that query may be sent to a location service provider to resolve the place/address.

If you use geofence reminders, the app may process location-related data to trigger reminders, including when the app is closed.

Location-related data is used only to provide geofence reminder functionality. If backup is enabled, reminders (and their location data) may be included in backup data.

You can delete reminders (and their location data) from within the app.

You can disable geofence reminders and background location access from in-app reminder settings and your device operating-system permission settings at any time.

Residents of certain US states may have rights to know, access, delete, and correct personal information, and to opt out of certain data uses where applicable.

We do not sell personal information and do not share personal information for cross-context behavioral advertising as defined by applicable state laws.
